About this role

ProVeg UK is looking for a Business and Finance Coordinator. This is a multifaceted role where you will act as the operational engine of the team, bridging daily administration, financial coordination, HR support, governance, and internal communications. You will ensure UK operations run smoothly, research and implement proactive improvements, and serve as the team's 'Digital Champion' driving tech efficiency and AI integration while maintaining oversight of UK compliance, data integrity, and financial health.

Responsibilities

  • Manage invoice creation, process team expenses, understand overall budget, and pull monthly budget reports from Sage for budget holders
  • Prepare core financial reports for the board including budget vs. actuals, projections, and cash flow charts
  • Support fundraising financial queries and coordinate quarterly board meetings
  • Manage agendas, slides, and action notes for board meetings using AI tools; track risk and action logs
  • Manage employee onboarding/offboarding, set up equipment, update personnel databases, and prep monthly payroll
  • Ensure Companies House records, CIC documentation, insurance policies, and GDPR compliance are up to date
  • Manage supplier contracts and team culture activities including team-building events and co-working coordination
  • Act as internal expert for HubSpot and Wrike, providing staff training and AI productivity tips
  • Maintain clean data entry in HubSpot for donations, donor tracking, reporting, and prospect research
  • Serve as team proofreader for newsletters, reports, and proposals
  • Set up and maintain internal knowledge Wiki (Confluence) with up-to-date information
  • Provide week-to-week and ad hoc support to Co-directors including budget queries and business cases
  • Create monthly and quarterly reports in HubSpot

Requirements

  • Exceptional administrative skills for HR onboarding, wellbeing scheduling, board preparation, and director support
  • Strong eye for detail to proofread and edit internal and external communications
  • Ability to maintain meticulous data integrity in CRM for programme and fundraising activities
  • Willingness to be a 'Digital Champion' helping team members learn platforms like Wrike, HubSpot, and Gemini
  • Organised approach to managing legislative timelines and important annual dates (e.g., filing accounts, Companies House updates)
  • Good financial competency and confidence liaising with People and Culture and accountants
  • Understanding of basic UK employment processes, Health & Safety, insurance handling, and corporate governance
  • Tech-savvy problem solver with proactive approach to workflow optimisation
