About this role

Kairos is looking for a Generalist (Operations) to handle the wide range of business and back-end operations that keep the organization running.

You'll manage finances, payments, HR, compliance, and systems, while supporting Kairos's programs and Pathfinder groups. This is a broad operations role where you'll own core functions including vendor payments, accounting supervision, payroll, benefits, compliance, grant processing, and building internal systems and automations.

Responsibilities

  • Run finances and back-end operations: pay vendors and contractors, supervise accountants, support bookkeeping and annual audits, handle payroll and benefits, manage onboarding and offboarding,
  • Support fiscally sponsored Pathfinder groups: sync with groups, onboard new ones, explain fiscal sponsorship rules, monitor spending for compliance, and handle support requests,
  • Process grants and payments across Pathfinder and other programs, manage expense processing,
  • Build systems and automations to eliminate repetitive operational work,
  • Provide support to participants and applicants across programs,
  • Pitch in on program operations, inbox triage, and program logistics as needed

Requirements

  • Smart, agentic, and able to figure out unfamiliar processes and work them out well,
  • Great at automation and tooling; instinctively reach for better systems rather than manual processes,
  • Eager to help and able to be assertive; comfortable with both gentle and firm communication,
  • Organised and on top of things; careful tracking of to-dos and information,
  • Strong writer and communicator; clear, concise messaging,
  • Mission-aligned with AI safety and comfortable in the AI safety ecosystem,
Preferred:
  • Experience in finance, accounting, HR, nonprofit compliance, event planning, or business operations,
  • Strong automation and AI-tooling skills,
  • Context on AI safety and the broader ecosystem
