Job Description
We’re looking for an Operations Manager to ensure the smooth functioning of our office, events, and internal operations. This role is essential to maintaining an effective, collaborative, and high-energy work environment for our team of policy entrepreneurs.
The ideal candidate is detail-oriented, high-agency, and eager to take ownership of a variety of tasks – ranging from managing office logistics to supporting events and operational projects. Depending on experience, the role could be structured for someone new to operations or for someone with more experience looking to take on higher-level responsibilities.
This role can be part-time or full-time and will report to our Chief of Staff, Claire Larkin.
Responsibilities
As an Operations Manager at The Institute for Progress, you will be responsible for the following:
1. Office Management
- Ensure the office is well-organised and encourages the wider IFP team to be productive
- Monitor inventory, order supplies, and organise deliveries
- Reserve meeting spaces and other areas when necessary with building management
- Respond to facilities support requests from IFP staff
- Identify and implement office improvements, as necessary, including researching and procuring furniture and equipment
- Serve as the primary liaison with the building’s property management
2. Event Support
- Assist in planning and executing events, including happy hours, team retreats, and co-hosted events with partner organisations
- Engage and manage vendors for event staffing and logistics
- Provide on-site event support to ensure smooth execution
- Depending on interest and/or experience, this can be an area to take more ownership and responsibility
3. Additional Operations Projects
- Improve and maintain organisation across shared drives and internal systems
- Take initiative on new projects aligned with team priorities (e.g., HR, finance, hiring) as needed
- Investigate and implement scalable solutions to common operational challenges
