Job Description
As an Operations Manager, you will work closely with the SAIF executive team, and will report to the Managing Director.
You will be responsible for SAIF’s ongoing operations across areas such as recruitment, finances, infosecurity and procurement. You will also help with event production needs for our events (like the IDAIS event series), especially as we near the event date itself.
Finally, you will be expected to identify and proactively work on any areas that are currently a bottleneck to our growth and productivity. This could range from researching non-profit regulations, building better team processes, writing external comms, helping write grant proposals and more.
You will be the third member on the more operationally oriented side of our business, in addition to the Managing Director and the Head of Events. These tasks have previously been distributed across SAIF’s executive team and other staff. At the start of the role, your focus will be to take on and systematize these tasks.
Responsibilities
The key responsibilities for Operations Manager at SAIF will be:
- Finance: Manage and coordinate organisational budgets (incl. monthly financial reporting, variance analysis, expense tracking, finance controls and financial compliance), assist on fundraising processes/materials, and maintenance/improvement of the existing financial stack (billing, payments, treasury etc.).
- Accounting:Â Handle expenses and invoices, interface with bookkeepers and accountants, ensure on-time book closing, and ensuring SAIF is compliant globally (tax, processes etc.).
- Events:Â interfacing with venues and stakeholders, procure security or media services, managing A/V equipment, assisting with booking flights and reimbursements
- Recruitment: headhunting, resume screening, interview scheduling, managing an applicant-tracking system, notifying candidates.
- Onboarding new hires: preparing contracts; creating accounts; building employee handbooks; figuring out how to hire in different jurisdictions
- Process improvement:Â Help design a variety of internal processes to ensure the team is productive and runs efficiently, and adapts to an increasing scale.
- Procurement: selecting vendors for services (e.g. recruitment software) or equipment (e.g. laptops, monitors). Ensure compliance with our procurement processes.
- Basic communications:Â Help us manage our website, LinkedIn, Twitter, etc.
- General operations:Â Additional operational processes to help SAIF move faster and achieve our mission.
Beyond these key core tasks, there are a number of other further tasks a strong hire may assist with, if they are excited about contributing to these areas:
- Fundraising: helping to prepare grant applications and update donors on our progress.
- Comms: building out Twitter, LinkedIn, or other online presences for the organization. Could include writing blog posts, Tweets, designing the website, etc.
- Legal: consult with legal counsel and/or perform independent investigations on relevant non-profit regulations.
Role Requirements
You may be a good fit if you:
- Are impact-driven and excited about international cooperation on AI Safety. We are a small, young, mission-driven team, and are laser focused on having as big of an impact as we can.
- Are great with finances.  You are a “numbers person”. Navigating financial processes and spreadsheets is second nature. You’ve previously handled the financial operations or P&L of a department, or a small-medium business.
- You are highly organised. This job will have a variety of small tasks and factors to track, and ensuring you don’t lose track of any items and can prioritize effectively between them will be key.
- You are adaptable and can pick up new skills quickly.  The actual day to day work may change substantially based on our current needs, and you may be asked to fill gaps in a bunch of areas where you don’t have prior experience.
- Are an effective communicator. Our organisation works a lot with a variety of different external stakeholders. The work is also often high stakes; communicating clearly both internally and externally is key.
