Job Description

We are seeking a dynamic and organized part-time Program Coordinator to join our team. In this role, you will be responsible for coordinating organizer-led initiatives, supporting volunteer teams, and ensuring that each program runs smoothly from planning to impact reporting.

You will coordinate with local organizers to establish strong community partnerships, support volunteer city leads, and ensure each initiative meets its goals in alignment with our broader organizational strategy.

This role offers a unique opportunity to shape the future of our initiatives and expand our impact across new regions. The ideal candidate will bring excellent organizational skills, a passion for community engagement, and a proactive approach to problem-solving. You will work closely with our Executive Director and other team members to refine our program models, support city volunteers, and represent Planted Society’s mission to partners and stakeholders.

We’re looking for someone who is eager to learn, grow, and contribute new ideas. If you are motivated by a passion for community outreach and sustainable food systems – and even if you don’t feel you meet every single requirement – we would still love to hear from you.

Responsibilities

As a Program Coordinator at Planted Society, you will be responsible for the following:

  • Program Coordination and Execution:
    • Coordinate timelines, deadlines, and deliverables to ensure volunteer teams in partnered cities stay on track with outreach, partner engagement, and event planning.
    • Support city teams in planning and coordinating events.
    • Maintain clear documentation and provide regular status reports.
  • Volunteer Management and Support:
    • Provide support and resources to volunteer city leads, conducting regular meetings and check-ins to offer guidance and assistance.
    • Retain and grow the volunteer team by recruiting new volunteers, maintaining positive relationships, and providing ongoing support.
    • Assist with the development and maintenance of volunteer training materials and facilitate training sessions as needed.
  • Strategic Planning and Communication:
    • Collect data and assist in creating impact reports to showcase environmental benefits and community engagement.
    • Collaborate with organisers and PR teams to ensure consistent social media messaging and media coverage.

Role Requirements

We are looking for someone who is/has:

  • Strong time-management and organization skills with a track record of meeting deadlines.
  • Clear written and verbal communication skills for engaging with various audiences.
  • Ability to coordinate events from planning to execution.
  • Skilled in supporting and guiding volunteers, keeping them engaged and aligned.
  • Highly organized with attention to detail and ability to manage multiple tasks.
  • Problem-solving mindset with a proactive approach to challenges.
  • Research skills to explore new opportunities and partnerships.
  • Strong relationship-building skills and unafraid to communicate effectively.
  • Passion for environmental advocacy with a desire to drive change.
  • Motivated by achieving results and making an impact.
  • Commitment to personal and team development and continuous learning.
  • Comfortable using spreadsheets and excited to learn new tools.
  • Enthusiastic about community outreach, program coordination, and volunteer work.

  2. Recorded In-Depth Interview (30 min – 1 hour)

Note about the use of AI in applications

We know using AI can make sentences and paragraphs sound extra polished, and sometimes it can even save a little time. That said, if we can’t get a sense of how you naturally communicate, we’re less likely to move forward with your application.

If your application sounds like it was written using an AI tool, we’ll assume that’s how you’ll write our materials, emails, and volunteer communications, which is not what we’re looking for at Planted Society.

We’d like to hear your real voice, even if it’s not “perfect.” That’s what will help us picture you in this role with our organisation.
